Start a call and save team notes

Prepare the room

  1. Open Calls and create a team room. The owner can also choose Anyone with the link, allowing guests to join without registering.
  2. Copy the invitation and send the complete link. Guests open the link and enter their name. You can reopen a room using the same link: the list contains reusable rooms, not separate meeting records.
  3. Check your microphone, speaker and camera before joining. The microphone meter shows input on your device; it does not confirm that another participant is receiving it.
  4. Choose Join meeting. Use Chat to message everyone: the room chat is shared and saved, and message times use your local time zone.
  5. If you are a team member, save the shared note after the discussion. To keep a separate version with a date and author, save the note first and then choose Freeze outcome.

Understand who can see the materials

A room note is shared with the team, not a personal note. Guests cannot see the note or dated outcomes, but can use the shared chat. A saved outcome keeps a separate, immutable version of the note.

When transcription is available, choose Transcribe my microphone under More. Only your own microphone is transcribed on your device; other participants enable it separately. The resulting text is saved for the team. Review decisions for recognition errors and omissions before saving them.

The owner can change access, rename or delete a room. Deleting it removes its materials and invalidates its link. Keep anything you need beforehand, and do not put confidential team material in a chat that guests can read.

If audio or video is missing

  • A room allows up to 10 simultaneous connections. Quality depends on each participant’s device and connection. Appearing in a room does not prove audio or video is being received.
  • If an invitation is unavailable, ask the owner to check the room’s access setting and send a new link.
  • Check browser permissions and selected devices, then try Reconnect. For problems between different networks, describe the failure to the team owner: a relay server may be required.
  • If a teammate changed the note, keep a separate copy of your draft and compare the versions. Do not replace an unsaved draft with the shared version before keeping the text you need.
